Talk, Don't Type: Six Things to Look For When AI Writes Up Your Visits
Talking through a visit instead of typing on a phone in a hot garage is the biggest time-saver AI has brought to Home Watch. But a tool that writes in your company's name has to behave well on the job. Here is what to look for out in the field, and how we built ours.
If AI makes you nervous, you're asking the right questions
Plenty of Home Watch owners want nothing to do with AI. They've seen chatbots make things up with total confidence. They worry it will say something to a client they never would. Some just don't trust a machine with a business they spent years building.
Those worries are fair. AI does get things wrong. It doesn't know your clients, your homes or your standards. Left on its own, it can make a report sound more polished than the visit was.
That's why ours never works on its own. Think of it as a fast typist riding along on your visit, not a coworker making decisions:
- It's built to work only from what you say on the visit. If it ever adds something you didn't say, you'll see it in the draft and can delete it.
- Every word is a draft. You read it, fix it or throw it out.
- Nothing reaches a client until a person on your team sends it.
- You can stop using it any time, and the rest of the software works exactly the same.
You don't have to trust AI to use it this way. You only have to trust yourself to read before you send, and you already do that.
And if you'd still rather type, that's fine too. AI is an add-on, not a requirement.
1. It will mishear you. What happens then?
Florida homes are loud in all the wrong places: AC condensers, pool pumps, dehumidifiers, a lanai screen rattling in the wind. Any voice tool will get a word wrong now and then. What matters is whether you catch it before your client does.
In Florida Home Watch OS™, everything the AI types is a draft. You read it, fix any line or tap Dismiss, and nothing is saved until you confirm it. The original transcript stays with the visit, so you can always look back at what was said and what was sent.
Field tip: step away from the pool equipment before you narrate, and say the room name first. "Guest bath, no water under the sink" reads better than a sentence that starts mid-thought.
2. Does it keep your words, or swap in its own?
AI likes to tidy things up. "Hot water heater" becomes "water heater." "Back bedroom" becomes "bedroom." "Two stained ceiling tiles" becomes "some staining." Each change looks harmless, but your homeowner can no longer tell which heater, which room or how many tiles.
Our AI is built to keep equipment names, room names and numbers exactly as you said them. Issue notes are rewritten as short, plain sentences, but the specifics you gave stay in.
3. When is it actually recording?
You are walking through someone's home. You may take a phone call, talk to a neighbor or say something to a coworker that has nothing to do with the visit. None of that belongs in a report.
Ours records only after you tap Record, and it turns your words into text after you tap Stop. It is not listening in the background.
Field tip: never read a gate, alarm or lockbox code out loud while recording. Whatever you say becomes part of the transcript. Codes belong in the client's access-code area, which the AI is never given.
4. What does it do when it hears "leak" or "gas"?
Some words should stop you in your tracks. A note about a slow drip under a vanity, a faint gas smell in the garage or a breaker that won't reset can't get lost at the bottom of a long report.
When our AI hears words like leak, gas, smoke, flood or electrical, it pulls them out as possible issues for you to look at. The Submit button stays locked until someone taps "I've reviewed this." You decide what goes in the report and what the homeowner needs to hear about right away.
5. Can it turn your paper checklist into a digital one?
Most operators already have a checklist that works, often a printed sheet with years of notes in the margins. Rebuilding it item by item in new software is the job everyone puts off.
With ours, you snap a photo of the sheet or upload a PDF, and the AI lays it out as a digital checklist. You edit, reorder or delete items before you save. Nothing goes live until you're happy with it.
6. Can you run your business without it?
AI should be a tool you pick up, not a crutch your whole operation leans on. Some days the signal is weak, some clients would rather you type, and some team members just don't like talking to their phones.
AI Integration is an optional add-on. Every core feature, from GPS-Verified visits to checklists, reports and invoicing, works the same with or without it. Your reporters can use it too, and you can stop using it any time.

- Can you catch and fix a misheard word before anything is saved?
- Does it keep your equipment names, rooms and numbers exactly as you said them?
- Does it record only when you tell it to?
- Does it stop you when it hears an issue word?
- Can it bring your existing checklist with you?
- Does everything still work if you turn it off?
AI should give you your evenings back. It should never put words in your mouth.
