Operator buyer’s guide
Home Watch Software: A Buyer’s Guide for Florida Operators
Choose software by following a property visit from scheduling to the homeowner’s update—not by counting features. This guide explains what to evaluate and how Florida Home Watch OS™ handles the work.
What is home watch software?
Home watch software organizes the records and daily work of a home watch company: clients and properties, scheduled visits, checklists, photos, reports, messages and invoices. It supports the company performing the visits; it is not a home watch service and does not replace an operator’s on-site judgment.
Six things to evaluate before choosing
1. Visit records you can explain
Ask during a demo
Can I review a complete report with checklist answers, observations, photos and location information? What happens if GPS is unavailable?
In Florida Home Watch OS™
Visit reports bring checklist answers, notes and photos together. Homeowner visit history can display GPS coordinates or a manual-location indicator. Ask to see both cases rather than assuming every report contains GPS proof.
Test one routine visit and one visit with an issue. Check that the report clearly distinguishes what was observed from what still needs follow-up.
2. The homeowner’s experience
Ask during a demo
What does a homeowner actually see, and do they need to sign in? Can they find older reports, photos and invoices without asking me to resend them?
In Florida Home Watch OS™
A private, branded homeowner portal provides signed-in access to visit history, photos, messages and invoices. Visit history supports search and date filtering, with report-read tracking.
Review the homeowner view as well as the operator view. A useful report must be understandable to someone who is away from the property.
3. Billing that matches your work
Ask during a demo
How do I send an invoice, record a check, handle a void and confirm a payment? Which connections and fees are required?
In Florida Home Watch OS™
Operators can manage invoice status, record manual payments and void or archive invoices. Online payment workflows use Stripe; accounting sync paths are available for QuickBooks and Zoho Books. Connected-service workflows require the relevant account and setup.
Walk through an unpaid invoice, a manual payment and a void. Confirm payment-processing and third-party costs separately from your software subscription.
4. Staff access without unnecessary access
Ask during a demo
What can each reporter view or manage? Can I test their account separately from mine?
In Florida Home Watch OS™
Staff have dedicated visit, calendar, report and route-planning views. Reporter permissions control access to actions such as invoice management; company subscription billing remains operator-only.
Use a reporter account in the demo. Confirm the right properties and actions are available, rather than judging permissions from the operator’s screen.
5. Florida storm preparation and follow-up
Ask during a demo
Are storm tools included or optional? Can I keep property readiness, homeowner authorization and before-and-after photos together?
In Florida Home Watch OS™
Optional Storm Prep adds property readiness profiles, authorization requests, storm phases and pre-storm/post-storm photo comparisons. The storm dashboard checks whether the add-on is enabled.
Software records support preparation and follow-up. They do not replace official weather or evacuation guidance, make a property safe, or guarantee access after a storm.
6. AI assistance with human review
Ask during a demo
What does AI draft, what must I confirm, and is it included in my quoted plan?
In Florida Home Watch OS™
AI assistance is offered separately from the base software plans. The AI experience describes voice notes, suggested checklist answers, possible issue flags and wording checks; the operator reviews and confirms before sending.
Try a short note containing an uncertain observation. Review the suggested wording for accuracy and avoid turning a possibility into a confirmed finding.
Run a realistic demo before committing
Use a sample property and non-sensitive test information. Ask to complete this sequence on the phone you use in the field:
- Schedule a visit and open the property’s checklist.
- Record observations and a photo; check how location is labeled.
- Review the report, then open the homeowner’s view.
- Create an invoice and demonstrate manual versus online payment status.
- Sign in as a reporter and check their permitted actions.
- Ask what happens with weak connectivity, interrupted uploads and unavailable GPS. Do not assume offline operation unless it is demonstrated.
Compare the full cost—not just the headline price
Count the clients and users you need today, then check the next capacity threshold. Ask for a quote separating the base subscription, extra users or client capacity, optional Storm Prep and AI, payment-processing charges and connected-service subscriptions. Check the current pricing page rather than relying on an old comparison.
Current pricingCheck support and your exit options
Ask how to get help during a visit, how to request a copy of your records, and what happens when you cancel. Review the privacy policy for the current data-handling terms. Do not assume every export format, migration service or cancellation workflow is included—confirm the parts your business needs.
